Redirecting Mail to Your Recordsforce Mailing Address Guide
Make the transition to your digital mailroom simple and seamless.
Now that your Recordsforce mailing address is established, it’s time to ensure your incoming mail reaches the right destination. This guide walks you through redirecting business mail, updating important contacts, and minimizing disruptions during the transition.
Follow these steps to ensure your mail is securely delivered to Recordsforce for digitization, organization, and routing.
When you begin receiving your business mail through Recordsforce’s digital mailroom, you may want USPS to redirect mail from your existing address to your new Recordsforce mailing address. USPS offers two forwarding options: Temporary and Permanent.
The right choice depends on whether you plan to return to your original address or intend to use your new mailing address going forward.
Before you begin: A USPS Change of Address (COA) does not update your mailing address with individual organizations. To help prevent missed correspondence, we recommend notifying important senders directly in addition to setting up forwarding.
1. Choose the Forwarding Option That Fits Your Need
Temporary Change of Address
Temporary forwarding is intended for situations where you expect to return to your original address or need mail redirected for a limited period.
- Minimum duration: 15 days.
- Initial forwarding period: Up to 185 days.
- Maximum duration: Up to 364 days total, provided you submit the required extension request.
- When forwarding ends: USPS resumes delivery to the original address.
If you decide to continue using Recordsforce beyond your temporary forwarding period, update your mailing address directly with the organizations that send you mail.
Permanent Change of Address – Recordsforce’s Recommendation
Permanent forwarding is intended for situations where you have relocated and do not plan to return to your previous address.
USPS forwards eligible mail for different lengths of time depending on the mail class. For example:
- First-Class Mail and USPS Ground Advantage: generally 12 months.
- Periodicals, such as magazines and newsletters: generally 60 days.
- Some other mail classes have different forwarding rules or restrictions.
If you need additional forwarding time, USPS offers Extended Mail Forwarding for eligible permanent requests for an additional fee. Extensions are available for 6, 12, or 18 months.
For current forwarding rules, consult the official USPS mail forwarding guidance.
2. Submit a Business Change of Address
You can request a business COA through the official USPS Change of Address website or by completing PS Form 3575 at a Post Office.
The person submitting the request must be authorized to act on behalf of the business. USPS may require supporting documentation to verify that authorization.
If you submit the request online:
- Visit the official USPS Change of Address website.
- Select Business Move.
- Enter the business’s existing address and the new Recordsforce mailing address.
- Enter the business name as it appears on incoming mail.
- Add any other business or alias names that need forwarding. USPS permits up to 50 additional business alias names in one request when the old and new addresses are the same for all names.
- Complete the required identity verification steps.
- Pay the current $1.25 identity verification fee.
- Save the confirmation email and confirmation code for your records.
Note: USPS uses the payment card information and billing address provided during the online process to verify identity with the issuing bank. Additional verification may be required.
If you submit the request at a Post Office:
- Obtain PS Form 3575 from a local Post Office. The form is included in the Mover’s Guide packet and is no longer available for printing at home.
- Complete the form with the correct business and forwarding information.
- Bring valid photo identification.
- Provide documentation showing that you are authorized to submit the request for the business.
- Submit the completed form and any required supporting documents to USPS.
Note: For a business filing a paper COA, USPS requires either a business license or a letter on company letterhead, signed by someone in a leadership role, confirming the submitter’s authority to make the change.
3. Know What to Expect After Filing
Once USPS approves your request, allow at least 7–10 postal business days after the COA start date for mail to begin arriving at the new address. Forwarded mail does not have a guaranteed delivery timeframe.
Keep your confirmation code in a secure place. You’ll need it, along with your new ZIP Code, to manage your request online through USPS Manage My Move.
Depending on your circumstances, you may be able to change the start or end date, modify certain details, switch an active request from temporary to permanent, or cancel the request.
For temporary forwarding, remember to submit the extension request before your initial forwarding period ends if you need additional time. Total temporary forwarding cannot exceed 364 days under the standard temporary COA process.
4. Update Important Senders Directly
USPS forwarding is helpful during a transition, but it should not be your only method of updating your business mailing address.
Some correspondence may not be forwarded because of the mail class, sender instructions, or security restrictions. Government agencies and financial institutions may require you to update your address directly.
Consider contacting your:
- Banks and financial institutions
- Insurance providers
- Federal, state, and local government agencies
- Vendors and service providers
- Customers and business partners
- Professional associations and licensing organizations
When updating an address, confirm that you are changing the mailing address rather than the physical or registered business address, unless you intend to change those details as well.
Recordsforce has created a Business Mailing Address Change Checklist to help you identify important contacts, organize your updates, and keep track of your progress.
